Using Microsoft SharePoint with WordPerfect

WordPerfect gives you direct access to your organization’s Microsoft SharePoint document management system (DMS).


Getting started

To get started using Microsoft SharePoint with WordPerfect, you must enable the enhanced file-management feature. This feature lets you access the Web and navigate to the document library from directly within WordPerfect.

In addition, you may want to display the Document Management toolbar, and to disable Microsoft Internet Explorer from opening WordPerfect (WPD) files.

Saving documents to a document library

You can share WordPerfect documents with others by saving them to your organization’s document library. After you save a document to the document library, others can view the document, or check it out, provided they have the permission to do so.


Using the working folder

By default, WordPerfect places a folder called “Working Files” in My Documents, so the location of the default working folder is as follows:

 
on Windows 7 or Windows Vista: Users\<Your name>\Documents\Working Files
 
on Windows XP: Documents and Settings\<Your name>\My Documents\Working Files

The file you check out is copied to the working folder, and you can modify the file in WordPerfect from that location. When you are ready to check in the changes, the file is copied from the working folder back into the SharePoint document library.

You can change the working folder, although you should never need to do so.

You must check in all checked-out files before changing the working folder. If you change the working folder while files are checked out; you will not be able check them in from within WordPerfect.


Checking documents in and out of a document library

The checkout process lets you collaborate with others on the same set of documents. It provides a method for controlling and tracking the changes that are made to the documents. You can check out a document if it is not already checked out by someone else. By checking out a document, you can temporarily prevent others from making changes to it.

You can make changes to a document after checking it out. When you are ready for others to view the changes that you made, you can check in your version of the document to the document library. After the document is checked in, your version of the document can be checked out by someone else.

When you check out a document, a copy of the document is saved to your working folder. You can modify this copy of the document and save the changes locally, without sharing them with others. You can also keep working on the copy of the document when you are offline. You can repeatedly close and reopen the copy without affecting the checkout status and then check in the document when you are online again.

If your organization’s document management system supports version tracking, you may have the option of adding a version description or choosing a version type, such as a major or minor version. For example, major versions might be used for making important content or structural changes, whereas minor versions might be used for making lighter changes, such as correcting typos. In addition, depending on how the permissions are set up in your document library, a minor version might be treated as a draft document that only certain users can access. The major versions might have greater availability and be published.


Undoing document checkouts

You can undo a checkout at any time. Undoing a checkout lets you discard all changes that you made to the document since you checked it out. If you choose to keep the document open after undoing a checkout, the working copy becomes a read-only version.


Viewing documents and document properties

You can view an earlier version of a document by opening it as a read-only file.

You can compare a document with an earlier version that was checked in to the document library. You can also accept or reject the changes that have been made. The document that contains the comparison markings is opened in Review mode.

You can view document information, such as the document title, name, creation date, percentage of completion, and version description. The document properties that are displayed may vary, depending on the document library settings.


To enable the enhanced file-management feature

To disable Microsoft Internet Explorer from opening WordPerfect (WPD) files

To save a document to a document library for the first time

Type the document library URL in the Save in text box, and then press Enter.
If the document library was added to the Favorites list by your network administrator, click Favorites, and choose the library name from the Favorites list.
The document library Web page appears.

Browse to the location where you want to save the file.

Type a name for the document in the File name box.
6.
 
Click Save.

Do one of the following:

Click the Check in document button on the Document management toolbar.
If the Document properties dialog box appears, fill out all required fields (and any other desired fields) to proceed.

In the Check in dialog box, type a description of the changes that you made to the document in the Description of changes text box.
If you want to keep working on the document after checking it in, enable the Keep document checked out after checking in this version check box.


You can also
Check in and publish the document as a major version
Enable the Major version (publish) option.
Check in the document as a minor version
Enable the Minor version (draft) option.

To change the working folder

To check a document out of a document library

Click the filename.

Click Open.
The file appears in WordPerfect as read-only.
The checkout status of the file appears in the title bar. The file is ready to be checked out if it is described as Checked in.

When you check out a document, a copy of the document is saved to a working folder on your computer.

To check a document in to a document library

In the Check in dialog box, type a description of the changes that you made to the document in the Description of changes text box.
If you want to check in the changes but keep working on the document, enable the Keep document checked out after checking in this version check box.

You can also

Check in the document as a minor version
Enable the Minor version (draft) option.
Replace a minor version that is currently open
Enable the Replacement of minor version (draft) option.

If you copy a file to another location and make changes to the file, you will not be able to check in the changes from within WordPerfect. Instead, you must either check in the file directly in SharePoint or copy the file to the working folder and then check the file in from within WordPerfect.

To undo a document checkout

To view a previous version of a document

Choose a version of the document from the Document history list.

To compare two versions of a document

Open the version of the document that you want to compare with a previous version.

Current document — displays comparison results in the currently open document

Click Compare only.

The information that is displayed in the Version compare dialog box may vary, depending on the document library settings. For example, descriptions do not appear in the dialog box if they are not supported by the document library.

To compare two versions of a document and accept or reject changes

Open the version of the document that you want to compare with a previous version.
